Marketing Coach: 7 Rules to DIP Your Sales Success

I asked one of my favorite marketing coaching clients, "How's your DIP?"

She responded, "Dip? We're talking party recipes now?"

"No, no - remember the acronym I shared with you last time? DIP stands for Dollars In Play." She remembered.

Then she asked me to hang on as she shuffled through some notes and papers.

"Where are you looking for these numbers?" And she said that she keeps a scratch pad by her keyboard and has a more detailed tracking document that she updates every couple of weeks on her computer. 

"Oh my goodness, there's your problem right there. You have to keep this info right in front of your face all day long." 

REALLY in front of your face. My suggestion - make a poster using something as simple as a piece of flipchart paper and two different size Post-It notes: the Jumbo size and the smaller 3x3 square size.  

Here's what a DIP (Dollars in Play) wall chart looks like:

Here's how it works:

1. Two categories: one called "In Play" and the other one for less serious prospects ("Jokers") You can see in the photo above, I've had a little fun and made a silly cartoon joker card. These are folks who are in my pipeline but (in my estimation) less serious, less committed, and less capable of making the financial commitment to hire me.

2. Post your prospects' full names, the service/product/program you discussed with them, the dollar value, and the source. For example, Jane Doe came from a referral from Frank. We have not talked yet, so there's no dollar value. Nat Cole came from Linkedin and we talked about a $1500 1-on-1 marketing consulting package.  Sam Smith is hiring me for a $6500 speech in October. (All prospect names have been changed for the purposes of this blog post and photo - could you tell?)

3. Real time updates. Sometimes I'll even grab my pad of 3x3 Post-Its and write someone's name down WHILE I'm on the phone with them, walk over to the wall chart and stick their name on it. Can't tell you how satisfying this physical act can be. 

4. Fluid movement. Don't be afraid to upgrade a joker to the serious column and don't be afraid to take a (formerly) serious prospect and move them into the Joker column. The factors to consider are their commitment level based on email and phone communication, their level of responsiveness, and how rapidly you are moving them from point to point in your sales process.   

5. Reminders rule. If you see someone on your chart whom you have not spoken with or heard from in a few weeks, you probably need to get back in touch. Ideally, you never have a prospect who is just "floating" out there without a firm decision call on their calendar. But it happens. The chart reminds you to close those loops and corral your prospecting mustangs back onto your sales ranch.  

6. Relentless removal. Remember the old sales adage, "Some will. Some won't. Who cares? Next!" That's the point of the chart. Up or out. If you're not going to buy, I'm going to cut you loose and throw you back in the ocean. The SECOND most fun you'll have with this chart (after slapping a brand new prospect's name onto the chart) is grabbing a prospect who said no - or who has disappeared on you despite your best efforts to hold them to their commitments - and RIP their name off the chart and tear it into tiny little pieces and chuck it in the trash.  

7. Do the math. Feel the power. The point of tracking your sales pipeline in this manner is so that you have a real-time sense of "Dollars in Play." Every so often, you should glance over at your chart and add up the numbers that you see in the "In Play" column ONLY. (Don't add the jokers because that's why they're in the joker column - instead, do everything you can to move your jokers into the "In play" column or remove them altogether!)

In the photo above, you would have a "Dollars in Play" number of $21,000. For prospects who are considering mutliple options (for example, Mindy Kaling is holding a proposal with a $7500 option and a $2500 option), you should count the higher number.

Two reasons: 1.) It sets your internal expectation in that direction which will enhance your confidence in your subsequent conversations with Mindy. A confident seller creates confident buyers. So it's a self-fulfilling prophecy. 2.) It builds your capacity for marketing optimism, which every entrepreneur needs. Plus if you're going to be relentless in removing people (See Rule #6 above), you might as well be relentlessly optimistic about the folks who earn and keep a place in your active sales pipeline.

3 Secrets to Great Conferences

conference oldI go to a fair number of conferences, both as a speaker and as a plain old participant. 

Some conferences are great - and some... well, not so much. 

In my experience, a great conference combines three secret ingredients for success. 

What are they? 

Glad you asked. 

Here they are... 

1. Speaker management - Give me high-energy, high-content speakers who deliver the goods. Strong content delivered with authenticity, enthusiasm, and with a clear point-of-view. I don't want to hear speakers who deliver same-o, lame-o information (i.e. crap that I could just as easily read in a book or find in a Google search). I want to be shaken, stirred, riled up, smacked down, and taken for a ride. No vanilla speakers. I want you to bring the mango gelato, the sriracha sorbet, the oddballs, the freaks, the wild ones. 

2. Engagement management - Don't (please don't) make me sit in a theater, an auditorium, or a meeting room and watch from my seat. I want to interact. I want to engage. I want to collaborate, communicate, and cross-pollinate with the speakers, the audience, the organizers. I want you to put the CONFER back into the word CONFERENCE. I want to strategize, conspire, and confab with all the amazing people in the room. Not just the gal to my left and the guy on my right. Not just during deeply misguided Q&A sessions that ruin even the best talks. All. The. Time. Mix it up - mini-seminars, peer-to-peer jam sessions, strategic mastermind roundtables. Put the intellectual talent of the room on stage and let's REALLY dig in.

3. Time and experience management - Never start late. Let me repeat that - never, EVER start late. No session or panel longer than 20 minutes. Less and faster is the name of the game. Take the sage off the stage and put the guide on the side. Move me around the theater - into the lobby, up on the platform, out in the hall. Mix, mingle, shake up the stale conference format. No more 1-to-many. Make it many-to-many. Or 1-to-1. Manage my time. Manage my experience. Connect me. Inspire me. Fire me up. Let me feel important. Let me plug in to the event and the people you've brought together. Stir my pot. Season my soup. I want to leave your event feeling like I'm a rock star who just played a set with the best musicians on the planet. I want to feel LUCKY to have been part of your event. I don't want to leave with information. I want to leave with insights specifically designed to help me kick some serious ass. I want to leave with my action plan for global domination AND a whole army of new friends whom I can call on to make it happen. 

Can your event do that for me? 

'Cuz if it can't... I won't be there. I'll just stay home. And read a book. Or jump on Google. Or watch videos on TED.com.

I don't need to travel and use up my time, money, effort, and energy going to your old school conference with a string of speakers who talk at me while I sit with a random bunch of strangers who'll never even get to know my name.

Marketing Speaker: What's Your Mission Today?

This post is about what's on your plate right now - today - right this minute. 

My friend, Jose Palomino, sent me an email this morning about some website tweaking that he's doing. He wrote, "Getting the timing right and the sliders to stop rotating after the final reveal is today's mission."

Bam - that was his ONE thing for today. Was he doing other tasks? You bet. Was he developing business, calling clients, following up on sales leads, and doing paperwork? Sure... but he also had his "mission" for the day. 

When it comes to being a small business owner, independent professional or speaker/consultant, you have a million things to do and a hundred priorities. 

Wouldn't having a SINGLE mission for the day be great? 

Well - you can. Many important tasks can be done in as little as 15 minutes -- and tackling ONE head-on might be exactly what you need to regain that most precious entrepreneurial asset - MOMENTUM.

Some examples to get you started: 

  • Revise your home page copy
  • Write an important email to a client or prospect
  • Send an invoice you've been proscrastinating on
  • Post a blog
  • Submit an article to a trade journal or industry publication
  • Respond to a media request
  • Send out your email newsletter
  • Circle back with a prospect who's on the fence
  • Clean up your LinkedIn profile
  • Post a long-overdue recommendation on LinkedIn
  • Send a thank-you note
  • Mail a book to a prospect, influencer or decision-maker
  • Pick up the phone and apologize to someone important
  • Ask for that referral you've been shy about pursuing
  • Contact that virtual assistant you've been thinking of hiring 
  • Post your internship job description with your local university
  • Begin a research file or a Google Doc for your next book
  • Make a list of 20 companies you'd like to do business with
  • Clear off your desk (you can do this in 5 min. if you create a file folder called "Crap from Desk" and today's date!)
  • Do a competitive sweep and see who's doing what in your industry so you can refresh your offerings
  • Shoot a 2-minute video and post it to YouTube
  • Buy my book and get $747 in bonuses right now (Shhh...)
  • Erase the whiteboard in your office and create a "fresh start"
  • Take yourself out to a coffee shop for a 2-hour strategic meeting with yourself, a legal pad, and a pack of Sharpies
  • Take a nature walk and bring your pocket audio recorder or smart phone to capture ideas
  • Reconnect with an old client, friend, or colleague
  • Write an amazon book review for a book you admire in your field
  • Call your tech wizard to fix a nagging technology problem you've been tolerating for way too long
  • Leave a 45-second voicemail for a client just to say how much you value your relationship with them
  • Visit your favorite bookstore or newsstand and buy a magazine to flip through for new business ideas

1x100 better than 100x1Don't take this personally but... you're making a BIG mistake. 

Yeah... it's bad.

And you don't even know it. 

But it's costing you money, time, relationships, and ultimately it's impacting your bottom line in ways that you cannot even imagine. 

In a word, it is... 

LAZINESS. 

Yup. Sorry. Truth-telling time. 

You're a lazy bum.

What do I mean?

You're marketing mindset is set to "bulk mode."

Over the last two weeks alone, I've had several of my smart, professional, experienced and (otherwise) emotionally intelligent clients either ask me about (or worse - tell me that they already did) the following: 

  1. Send out a mass email prospecting for a six-figure consulting program
  2. Use a LinkedIn status update to request LinkedIn Recommendations from their 900 connections
  3. Use a bcc email to about 20 high-profile authors, speakers and experts soliciting blurbs for their upcoming book

In each of these cases, my reaction was swift and simple -- and as painful for them to hear as it was for me to convey:

This is jaw-droppingly stupid.

Even if you needed to communicate with 100 high-level decision makers at one time (and you don't) - do you think you'd get better results if you sent a private note OR if they see that you put in ZERO effort to reach out to them INDIVIDUALLY because at the bottom of your note it says "Click here to unsubscribe or change your email preferences - Sent by Constant Contact."

Come ON, folks... 

Similarly, would you be more likely to help someone who sent you this LinkedIn Recommendation request via 1-on-1 email...

Here's the math you need:

1x100 is 100X Better than 100x1

Send the same core email - personalized and tailored to each person - to 100 people. 

Do NOT send 100 generic emails to a list and hope for anywhere near the results you want. 

I don't care if you're asking for sales, asking for leads, asking for referrals, asking for book blurbs, asking for help, asking to sell Girl Scout Cookies, or asking for a date.

If you don't make THEM feel special and worthy of your precious time, you can be sure they will reciprocate with the exact same level of effort - aka ZERO - in helping you get what YOU want. 

Not the outcome you're after.

Final note: I've had salespeople and internet marketing types tell me, "Yes but you can personalize those emails."

Come on... your clients, customers, advocates, allies, referral partners and friends aren't stupid. They can tell the difference between a true PERSONAL email (the good kind) and a PERSONALIZED email (the bulk kind). Doesn't matter how cleverly you disguise it.

They. Can. Tell.
